Position Overview

1. SCOPE OF ROLE:

The HCMS Coordinator provides administrative and operational support to Human Capital Management Solutions (HCMS) by maintaining employee records, handling HR inquiries, providing system support, supporting compliance activities, and departmental processes while maintaining data accuracy and confidentiality.

 

2. ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Maintains accurate and complete employee records by uploading, organizing, and managing employee documentation in DocuWare (the organization’s electronic document management system).
  • Monitors and responds to employee inquiries through the HCMS Zendesk ticketing system, serving as a primary point of contact for routine questions regarding HR policies, procedures, systems, and general HR matters.
  • Supports HR compliance and internal audit activities by gathering documentation, reviewing records for completeness, and assisting with requirements related to applicable federal, state, and organizational policies.
  • Maintains a high level of data accuracy, confidentiality, and discretion when handling employee information and sensitive HR records.
  • Provides day-to-day HCMS/HRIS user support and serves as a backup to HRIS Administrators by assisting with routine system inquiries, access questions, and basic troubleshooting, escalating more complex issues as appropriate.
  • Coordinates logistics for monthly HR meetings, including calendar invitations, meeting arrangements, materials, catering, and other administrative needs.
  • Partners with members of the HR team to identify and resolve routine operational issues and support consistent HR service delivery.

 

Qualifications

  • REQUIREMENTS:

REQUIRED EDUCATION AND EXPERIENCE

 

  • High School Diploma or GED
  • General understanding of Human Resources
  • Strong attention to detail and commitment to data accuracy
  • Excellent communication and organizational skills

PREFERRED QUALIFICATIONS & SKILLS

 

  • Undergraduate degree in HR or Business
  • Internship or 1 year of experience in HR, or operations
  • Familiarity with HRIS and ATS platforms (UKG, iCIMS, etc.).
