Position Overview

  1. SCOPE OF ROLE:            

This role is responsible for the maintenance of all Human Resources paper and electronic filing.  Supports the organization of all HR records for compliance purposes.

 

  1. ESSENTIAL DUTIES & RESPONSIBILITIES:
  • Manage HR filing system (electronic & physical).
  • Index all electronic records by HR function (General HR, Benefits, Employee Relations, etc.).
  • Scan and send employee files to appropriate supervisors of new hires’ programs to ensure compliance for audits.
  • Coordinate all New Hire Orientation materials.
  • Pre and post orientation room setup.
  • Order breakfast and lunch for orientation.
  • Assist with employment verification when needed.
  • Assist with data entry of MVRs for SUS staff and creating their records on SharePoint.
  • Backup for Receptionist
  • Assist HR and program staff by providing employee files for audits.
  • Perform general clerical duties including but not limited to photocopying, faxing,          mailing, filing and arranging for deliveries
  • Assist in special projects and all other activities as delegated by HR management.

 

 

  1. REQUIREMENTS:

REQUIRED QUALIFICATIONS

  • High School Diploma or GED
  • 1 year of HR filing or internship experience preferred
  • High attention to detail and accuracy
  • Excellent (verbal and written) communication and customer service skills
  • General Understanding of Human Resources
  • Minimum of Beginner level user of Microsoft Office Suite, specifically Excel
  • Ability to work independently and as member of a team
  • Ability to communicate sensitive information in a professional and confidential manner.
