Position Overview

S:US is seeking a highly motivated HR Compliance Specialist who will be responsible for supporting all aspects of HR Compliance and HR audits to ensure compliance with Federal and State regulations, including pre-employment screening, I-9 verification, criminal background checks, professional licensure, Medicaid exclusion checks, and enforcing company policies and practices. The ideal candidate should be a detailed-oriented and organized individual who can prioritize tasks, monitor compliance processes and be technically savvy.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

HR Compliance
• Generates and manages the recordkeeping of all compliance standards and ad hoc reports.

• Review the Justice Center database for new arrests and partner with HRBP’s to prepare safety assessments and take appropriate action.

• Respond to Mental Hygiene Law (MHL) 153 requests.

• Reviews and updates employment statuses in the NYS Justice Center, DCJS portal and CHITS once the HR Actions for separations have been processed.

• Manage External reporting of OMIG audits on a monthly basis.

• Run monthly Hire NYC public Assistance reports.

• Run monthly reports for employee professional licenses, use the NYS website to verify and partner with HRBP to ensure staff remain compliant with their renewals.

• Coordinate with HR Team to ensure staff adherence to all compliance and onboarding related matters.

• Build a strong partnership with the QA Department to ensure that organizational protocols are consistently adhered to and update the incident issue report demographics.

• Develop and provide employee training to the HR team on compliance policies, practices, and reporting systems.

• Superuser for Equifax I9 platform, Updates employment statuses, including start date adjustments for new hires and termination dates, in the I-9 Management portal.

• Maintain standard operating procedure (SOP) for archiving all personnel records.

• Writes and mails out letters to employees on administrative leave of absence.

• Coordinates with the HR Business Partners to update the Justice Center through a Web Application, the Administrative Action Reporting Mechanism (AARM) system.

• Collaborates with a third-party vendor to conduct monthly monitoring of exclusions, sanctions, and credentialing.

 

Surveys & Audits
• Communicate with government agencies as it becomes necessary (e.g. Justice Center, OPWDD, OMIG, etc.).

• Serves as the point of contact for all requests made by auditors from governing bodies and funders.

• Facilitates the retrieval, review and transmittal of all documents in a confidential manner.

• Work closely with the HRData Team to address and resolve data anomalies stemming from audits.

• Identifies opportunities and develops corrective action plans for audit enhancements and automation.

Onboarding
• Coordinates with the Talent Acquisition to conduct new hire employee file review for compliance and provide final approval.

• Communicate with WFMS team to ensure that all new hires, rehires and contingent workers are added to the HRIS system.

Qualifications

REQUIRED EDUCATION AND EXPERIENCE:

• A Bachelor’s degree in Human Resources Management, or related field. In lieu of Bachelor’s Degree, will accept equivalent combination of education and years of experience.
• At least three years of experience in HR Compliance
• Understanding of HR policies, employment law and regulatory compliance.
• Familiarity with government regulatory agencies such as OPWDD, OMH, OASAS, DHS, etc.
• Experience responding to audits and communicating with auditors.
• Excellent verbal and written communication skills, organizational skills and attention to detail.
• Ability to prioritize tasks, time management skills with a proven ability to meet deadlines.
• Strong analytical and problem-solving skills.
• Ability to act with integrity, professionalism, and confidentiality.
• Proficient with Microsoft Office Suite or related software.
• Proficiency with or the ability to quickly learn the organizations HRIS and Talent Management systems.
